E-way bill software for transporters: where the penalties really come from.

Generating an e-way bill is easy. The penalties come from Part-B that was not updated, a bill that expired on the road, and details typed twice that do not match.

Transporters rarely get penalised for not knowing the e-way bill rules. They get penalised because a detail slipped between people: the vehicle changed and nobody updated Part-B, the trip ran longer than the validity, or the consignor’s invoice and the LR said different things. The rules a transporter has to work with

These are the rules as published under the CGST Rules, 2017 (Rule 138) and the official e-way bill FAQ. Check the official text before acting on a specific case; thresholds and states’ own rules can change.

1. Generate from the LR, not from scratch

The consignor, consignee, GSTIN, HSN, value and destination are already on the bilty. Software that generates the e-way bill from the LR, with the GSTIN checked first, removes the most common source of mismatch: typing the same data twice.

2. Watch Part-B like a clock

Part-B carries the vehicle number. When goods are transshipped or the truck breaks down and another vehicle takes over, Part-B must be updated before the goods move again. Good software proposes the Part-B update the moment the vehicle changes on the trip, and chases the person responsible until it is done.

3. Extend before it expires

Validity depends on distance. When a trip runs late, the e-way bill has to be extended within the window the rules allow. Software that knows the ETA can extend while the goods are still moving, instead of someone discovering the expiry at a check-post.

4. Consolidated e-way bills and bulk work

Part loads and multi-drop trips need consolidated e-way bills and bulk generation. Look for a queue that shows NIC errors in plain words, so the office can fix them without guessing.

How an extension is done, step by step

  1. Open the e-way bill on the portal or in your software and choose extend validity.
  2. Enter the reason: transshipment, breakdown, accident, natural calamity or others.
  3. Enter the current place of the goods and the remaining distance.
  4. Update Part-B: the new vehicle number if the vehicle changed, and the transport document.
  5. Submit within the eight-hour window; the new validity is calculated from the remaining distance.

Penalties for moving goods without a valid e-way bill can be heavy, and detention of the vehicle costs more than the penalty. How long is an e-way bill valid?

For normal cargo, one day for every 200 km or part of it; for over-dimensional cargo, one day for every 20 km. Check the official rules for exceptions.

When can an e-way bill be extended?

Who updates Part-B of the e-way bill when the vehicle changes?

The person moving the goods at that point, usually the transporter, must update Part-B before the goods move in the new vehicle.

Can e-way bill software extend the bill automatically?
