Twenty calls for one truck feels like diligence. We think it is closer to the opposite: a process that looks thorough but leaves no comparison, no record and no way to check the price afterwards.
On many logistics desks, getting a rate for a load means calling round: brokers, truck owners, a couple of WhatsApp groups. The desk executive is busy all day, and it looks like hard work because it is. But when we sit with these teams, the question we ask is simple: after all those calls, what do you actually know that you can show someone else? Usually the answer is the rate you booked, and not much more.
It looks thorough. It is not comparable.
Calls happen one after another. The first broker quotes before the fifth has been reached. Some quotes are for a slightly different vehicle, some for a different pickup time, some include loading and some do not. By the time the desk has five numbers, they are not five answers to the same question. Comparison is done in someone’s head, under time pressure, with whoever answered first holding an advantage.
Where the cost actually sits
Cost
Why it stays hidden
Desk time on every load
It is spread across the day and never measured
First-answer bias
The booked rate looks reasonable, so nobody asks what the others would have quoted
Rates no one can defend
There is no record of who was asked or what they said
Urgent loads on one quote
The truck is booked before comparison can happen
No check after the fact
Nobody compares the booked rate with what the lane cost last month
None of these shows up as a line in a freight budget. They show up as a feeling in finance that freight is expensive, without anyone being able to say why.
Ask everyone the same question, at the same time
The first fix is structural, not technological: send one complete description of the load to every vendor you would consider, with a clear closing time. Route, vehicle type, weight, pickup and the deadline for bids, in one message. Now every quote answers the same question, and nobody wins simply for answering first.
That is the core of AutoBid. The desk creates the shipment by hand or syncs it from the ERP, chooses the owners and brokers for the route, and each receives the load on WhatsApp, which they already use. They reply with their rate; nobody installs an app or logs in to a portal. A return leg can sit on the same shipment so round trips are priced as round trips.
A deadline needs a safety net
A closing time is only useful if loads do not close empty. AutoBid sends reminders every 10 minutes as the closing time approaches, and extends bidding by 30 minutes automatically if nobody has bid; the desk can also extend by hand. If bidding closes with a single bid, it can be awarded automatically, so an urgent load is not left waiting for a person to click. Our playbook on loads with no bids covers how to set closing times sensibly.
Check the price after the award
The last cost of calling round is that nobody looks back. With every award recorded, the bid can be compared with the rate actually paid on the lane, pulled from the ERP. That is where the desk finally learns whether its rates are drifting, and it is the evidence finance has been missing. See bid vs actual by lane for how to run that review.
What we would change first
Write one standard load message and use it for every vendor.
Set a closing time on every load, even urgent ones.
Keep every quote in one place, not in call logs.
Compare each award with what the lane last cost.
More on running freight procurement this way is in the AutoBid guides.
Questions
Why is calling brokers for truck rates inefficient?
Quotes arrive one by one, for slightly different questions, and the first answer often wins. There is no record of who was asked or what they quoted, and no check afterwards.
How do truck owners bid in AutoBid?
They receive the load on WhatsApp with route, vehicle, weight, pickup and closing time, and reply with their rate. No app or portal is needed.
What if nobody bids before the closing time?
AutoBid sends reminders every 10 minutes near closing and extends bidding by 30 minutes automatically if nobody has bid; the desk can also extend by hand.
See it on your own data.AutoBid sends every load to your owners and brokers on WhatsApp, ranks the bids and keeps each vendor’s record. Book a 30-minute working session with an engineer.
