Guide · Field visits

How to prioritise school inspection visits so they find something worth fixing.

Visits planned by rota spread officers evenly across schools. Problems are not spread evenly.

Why rota-based visits miss problems

Rank schools by risk instead

Combine the signals you already have into one score per school and visit from the top of the list.

SignalWhat it suggests
Learner attendance fallingDropout risk or a problem at the school
Teacher absenceClasses not being taught
Mid-day meal issuesHygiene, quantity or supply problems
Open complaints and grievancesSomething parents or staff have already reported
Data gapsReturns not filed or records not updated

A simple weekly process

  1. Refresh the risk ranking for the district or block.
  2. Plan each officer’s route starting with the highest-risk school nearby.
  3. Use a short checklist on the phone, with a GPS pin and photographs as evidence.
  4. Sync the visit when there is a signal; work offline when there is not.
  5. Close the loop: record what was found and who will fix it, and recheck on the next visit.

How to measure it

Track the share of visits that find a real issue, and how many issues found are fixed by the next visit. Read about school monitoring systems.

How EduWatch does it

EduWatch is an education control tower for state and district education departments: one portal and one record for eight roles, from the minister and secretary to district and block officers, principals, teachers, students and parents, with 25 modules across classroom, kitchen, field and governance. The state view shows one delivery score with a health band for every district and a red list of decisions for today. District officers get a risk ranking of schools that combines complaints, attendance, meals and data gaps, with a field route that starts with the school that needs it most; block officers use a walk-and-tap app with checklist, GPS pin, photo evidence and offline sync. Teachers take attendance by voice and parents of absent learners get an SMS. Data stays in India, the government owns it, faces are matched on site, learner IDs are tokenised and every access is logged.

Questions

How should school inspection visits be planned?

By risk rather than rota: rank schools on attendance, teacher absence, meal issues, complaints and data gaps, and route officers to the highest-risk schools first.

What should a school visit checklist capture?

The items being checked, a GPS pin and photographs as evidence, and what was found and who will fix it.

How do I know if visits are working?

Track the share of visits that find a real issue and how many of those issues are fixed by the next visit.
