Distributor Management System: guides, playbooks and tools.
Everything we have written about the problems Distributor Management System solves, in one place.

- Why the Pending Reason Matters More Than DispatchSales teams track dispatches, but the orders that did not go, and why, say more about a distribution network. Pending can mean a stock-out, a route gap, a credit hold or a wrong order, each with a different owner. We argue for making the reason as easy to send as a dispatch, then reading reasons weekly.
- Stock Corrections Are Not a Distributor’s FailureStock in a distributor system always drifts from the shelf. If brands treat every correction as a failure, distributors stop reporting and stock data gets worse. We argue for welcoming corrections with reasons, reviewing them for patterns by SKU and distributor, and using audits to check the trail.
Guides
- What Is a Distributor Management System (DMS)?A distributor management system (DMS) is software a brand and its distributors share to record secondary sales: retailer orders booked by reps, the distributor’s pending list, dispatch with invoice, distributor stock per SKU, retailer dues and reports for sales managers and head office. Adoption by distributors decides whether it works.
- Distributor Stock Visibility Without Physical CountsDistributor stock can be kept current without counting: quantity received on the gate pass, minus every outlet dispatch, plus or minus corrections recorded with a reason such as leakage or a counter sale. Show the time of the last update, keep corrections in an audit trail and use periodic audits to check, not replace, the number.
- Secondary Sales Orders: From Rep Visit to DispatchSecondary sales order tracking follows each outlet order from the rep’s visit to the distributor’s pending list, dispatch with invoice, stock, retailer ledger and an end-of-day check of what is still waiting. Measure pending orders by age, dispatch time, pending reasons and cancellations, and never let orders travel by phone or paper photo.

- Cutting Sales Executive Follow-up Calls to DistributorsArea sales executives spend hours calling distributors for dispatch and stock updates. Replace the calls with one WhatsApp group per distributor where every dispatch, pending reason and cancellation is posted automatically, a morning pending list, an evening summary and a night check that names outlets still waiting, so calls are only about exceptions.
Comparisons
- WhatsApp DMS vs App-Based DMS for DistributorsA separate DMS app needs distributors to install, log in and learn screens; a WhatsApp-first DMS lets them see pending orders, dispatch and invoice in the chat they already use, while updates post to the sales team automatically. Small, phone-first distributors usually adopt WhatsApp faster; insist on a dashboard, audit trail and role-based access either way.
