Your site staff will not install another HR app. Stop asking them to.

Most HR software for plants, warehouses and field teams fails at the same step: the download. We think the fix is not a better app but no app at all.

The rollout that stalls at step one

The pattern is familiar. A company buys HR software with a good dashboard and a mobile app. The office team likes it. Then the rollout reaches the site: security guards, helpers, operators, delivery staff, field technicians. Each one has to download the app, create an account, set a password, and remember it. Some phones are short of storage. Some people share a phone with family. Some do not read English comfortably. A month later, the dashboard shows a fraction of the workforce, and the supervisor is back to marking a register.

Nobody in that story is being difficult. Each step is a small cost, and small costs add up across a large, busy, mobile workforce. The software was designed for people who sit at desks.

Adoption is the feature

When we compare workforce tools, we look at features last. The first question is simpler: on day thirty, how many employees are actually using it? A geofence or a payroll engine is worth nothing for the people who never logged in. Every other feature depends on that one.

Language is not a translation project

A large share of site staff are more comfortable in their own language than in English. Many HR tools treat this as a settings menu buried somewhere. In a chat, it is simpler: the employee writes the way they normally write, and the reply comes back in the same language. That small thing decides whether a helper can apply for leave alone, or has to ask a supervisor to do it for them.

The office still needs real software

None of this means the employer should run the company from a chat window. Owners, HR heads and team leads need a proper portal: departments, teams, role-based access, approvals, reports and payroll. Our view is that the two sides should be designed for different people. The employee side should be as light as a message. The office side can be as detailed as it needs to be. Problems start when one design is forced onto both.

A simple test before you buy anything

  1. Pick ten employees from your hardest site, not your head office.
  2. Ask them to complete one check-in and one leave request with the tool, without help.
  3. Count how many finish, and how long it takes.
  4. Repeat the same test a month later and count again.

If a tool fails that test, its feature list does not matter. If it passes, the rest of the evaluation is worth doing.
