WhatsApp Business Platform is Meta's API for businesses to message customers at scale. How it differs from the Business app and how templates work.
A business registers a phone number and display name under its Meta business portfolio, then connects that number to software, either directly through the Cloud API or through a solution provider. Incoming messages arrive at the software as webhooks, and replies go back through the API. Many staff, or a bot, can then work from one official number instead of passing a phone around.
Two rules shape almost everything you build:
| Business app | Business Platform | |
|---|---|---|
| Where it runs | On a phone, plus linked devices | Through an API connected to your software |
| Who replies | A few people by hand | Teams, bots and workflows |
| Proactive messages | Broadcast lists to saved contacts | Approved templates to opted-in users |
| Integrations | Very limited | CRM, helpdesk, payment links, chatbots |
Illustrative timings only. A student messages a college at 9:10 pm on Monday asking for the last date to submit documents. The window is now open until 9:10 pm on Tuesday, so the bot can answer at once and handle follow-up questions. On Thursday the college wants to remind the same student that the deadline is tomorrow. The window has closed, so it must send an approved utility template, for example "Your document submission for {course} closes on {date}." If the student replies, a new window opens.
This is how CampusDesk, a WhatsApp chatbot for colleges, works on a college's official WhatsApp Business number: it answers from the uploaded brochures and circulars, cites the document and page, and hands anything it cannot find to the office. Our guide to the WhatsApp chatbot for college admissions covers set-up, and the same rules apply to WhatsApp EMI reminders in lending.
Where this shows up in our work. CampusDesk: Admissions, exams and fees answered on WhatsApp from the college’s own brochures and circulars — cited, multilingual, 24 × 7. Book a 30-minute working session with an engineer.
The Business app is a free phone app for a few people replying by hand. The WhatsApp Business Platform, often still called the API, connects a business number to software so teams and bots can handle messages at scale.
Not entirely. Meta charges for certain messages by category and country, and a solution provider may add its own fee. Check Meta's current pricing page and your provider's terms before budgeting.
Yes, but only through approved templates to people who have opted in. Sending to people who did not agree leads to blocks and reports, which lower your quality rating and can limit sending.
