At an Indian factory, warehouse, mine or township, the security gate is the last control point. A gate pass tells the guard that a movement has been approved by someone with the authority to approve it. Without one, the gate depends on phone calls and memory, which is exactly when material walks out unrecorded or a visitor waits an hour at the booth.
| Type | What it covers | What to check at the gate |
|---|---|---|
| Visitor gate pass | Guests, auditors, vendors, contractors entering for a visit | Identity, host, areas allowed, time in and out |
| Returnable gate pass (RGP) | Material leaving that must come back, such as a motor sent for rewinding or a die for repair | Item, quantity, expected return date |
| Non-returnable gate pass (NRGP) | Material leaving for good, such as scrap sales or samples | Item, quantity, approval, linked invoice or challan |
| Vehicle gate pass | Trucks, tankers and contractor vehicles entering or exiting | Vehicle number, purpose, documents, load |
| Employee out pass | Staff leaving during working hours | Approval and time out and back |
Illustrative only. The maintenance team sends one gearbox to an outside workshop on 3 November. Stores raises RGP number 145 for one gearbox, approved by the maintenance head, with an expected return of 17 November. Security checks the item against the pass and logs the exit time. When the gearbox returns, security marks RGP 145 closed. If 20 November arrives and the pass is still open, the RGP register flags it, and someone follows up with the workshop. Plants that never review open RGPs are the ones that discover missing tools during audits.
No. A gate pass is an internal control document. When goods leave a site, the tax documents that may also be required, such as a tax invoice, a delivery challan and an e-way bill, depend on the nature of the movement and its value. Confirm the requirement for your case with your tax adviser or the official e-way bill portal. The gate pass should simply reference those documents so the guard can see they exist.
For visitors, gate pass and visitor software such as Autowhat's Sampark puts each approved guest on a digital expect list with a QR code before the vehicle reaches the booth, matches identity at check-in and keeps every approval on the record.

A gate pass is written permission, on paper or in an app, for a person, vehicle or material to enter or leave a site. It records what is moving, who approved it and when.
A returnable gate pass (RGP) covers material that leaves the site and must come back, such as equipment sent for repair. A non-returnable gate pass (NRGP) covers material that leaves permanently, such as scrap or samples.
The department sending the material or hosting the visitor raises it, a manager with authority approves it, and security checks the movement against it at the gate. Stores usually maintains the material pass registers.
