ROC compliance calendar: tracking every client’s due dates in one place.
A practice with thirty clients and fifteen forms has hundreds of deadlines, many of them triggered by events, not by the calendar. They cannot live in someone’s head.
Financial statements, annual return, director KYC, return of deposits, LLP annual filings
Event-based
Something that happened at the company
A director appointed, registered office changed, shares allotted, a charge created, a resolution passed
Annual deadlines are easy to put on a calendar. Event-based ones are the ones that slip, because the clock starts when the client acts, and the practice often hears about it late.
How to build the calendar
List every client company and LLP, with CIN or LLPIN and financial year.
Add each client’s annual filings, with the due date calculated from their AGM or fixed date.
Ask clients to report events as they happen: board meetings, appointments, allotments, loans.
For each event, create the filing with its own due date and an owner in the practice.
Show days left for every open filing, sorted by urgency.
Mark each filing done only when the SRN is recorded.
Common mistakes
A calendar with annual dates only.
Due dates that depend on an AGM date nobody entered.
No owner for each filing.
Marking a form done when it is prepared, not when it is filed.
Due dates, fees and requirements change; confirm each one on the MCA portal and with your adviser before relying on it.
How AutoROC does it
AutoROC is a filing workspace for Company Secretaries and Chartered Accountants who file ROC forms for many companies and LLPs. Each client gets a portal with their CIN and an access code, and raises requests in plain words with documents attached. An assistant maps the request to the right MCA e-Form from a catalogue of 15, pre-fills everything already known from the company record, asks the client only for what is missing, one question at a time, and validates DIN, PAN, CIN, dates and amounts as they are entered. Board resolutions, consents and sanction letters are attached to the ticket and read. The professional reviews the pre-filled e-Form, prints it to PDF or exports JSON for the MCA V3 portal, files it and records the SRN. Tickets move new → collecting → ready → filed → done, and every client’s due dates sit on one dashboard with days left. The e-Form is a pre-filled reference for transcription; always verify against the live MCA form before filing.
Questions
What should a ROC compliance calendar include?
Every client’s annual filings and every event-based filing, each with its due date, days left, owner and status, marked done only when the SRN is recorded.
Why do event-based ROC filings get missed?
Their deadline starts when something happens at the company, such as a director appointment or a charge, and the practice often hears about it late.
Where can I confirm ROC due dates?
On the MCA portal and with your professional adviser, since requirements and dates can change.
