Guide · WhatsApp

WhatsApp for a transport business: from chat groups to a working desk.

Every transporter already runs on WhatsApp groups. The difference between chaos and a desk is whether the messages read from and write to your records.

Why chat groups stop working

Groups are where status updates, POD photos, advances and complaints all mix. Nothing is searchable later, approvals have no record, and the customer sees whatever is forwarded. As the fleet grows, the office spends its day reading groups instead of running trips.

What a WhatsApp desk does instead

WhoAsks or sendsWhat happens
Customer“LR 24-1187 ka status?”Status, ETA and a tracking link, for their own LRs only
DriverPOD photoLR number, stamp, signature and date read and matched; billing unblocked
Driver“Gaadi kharab ho gayi”Breakdown SOS to operations and maintenance, Part-B and extension prompted
BranchDriver advance requestSent to the approver; PIN above the threshold
OwnerNothingA 9 AM digest of yesterday’s trips, delays, dues and exceptions

WhatsApp Business app vs the WhatsApp Business API

The free WhatsApp Business app is one phone and one person. A desk that answers many staff, drivers and customers at once, sends approved message templates and logs everything needs the WhatsApp Business Platform (Cloud API) from Meta, connected to your transport records. Template messages such as dispatch intimation, delivery confirmation and payment reminders have to be approved by Meta before use.

Tracking links customers trust

Customers want to see their truck, not call. A public tracking link per LR solves it, if it carries no financial data, expires after a few days and can be revoked when a load is reassigned.

Privacy by role

How to start

  1. Pick three questions that eat the most calls: truck status, LR status, POD.
  2. Connect GPS, the LR register and POD to the desk.
  3. Start with staff, then drivers, then customers.
  4. Turn on alerts one rule at a time and watch which ones people act on.

How SCM for Transporter does it

SCM for Transporter connects directly to Meta’s WhatsApp Cloud API with 25 message templates per company, a WhatsApp console with a bot simulator, conversation audit, alerts, templates, users and roles, a 9 AM management digest, and a public tracking link per LR that carries no financials, expires and can be revoked. It understands English, Hindi, Marathi and Hinglish, including voice notes. Related: AI agents for transport companies.

Questions

Can customers track trucks on WhatsApp?

Yes. A WhatsApp desk connected to GPS and the LR register can answer status questions and send a tracking link per LR.

Do I need the WhatsApp Business API?

For a desk that serves many staff, drivers and customers with logged, template-based messages, yes. The free Business app is designed for one phone.

Can drivers send POD on WhatsApp?

Yes. A photo of the signed LR copy can be read automatically for the LR number, stamp, signature and date, and matched to the trip.

See it on your own data. SCM for Transporter runs the bilty, e-way bill, trips, billing and accounts in one system. Book a 30-minute working session with an engineer.
