Vehicle Document Expiry: No Truck Stopped for Paper.

Fitness, permits, insurance, PUC and driving licences expire on different dates. One missed date stops a loaded truck.

The problem

Expiry dates live in files and memories.

The rule that catches it

AR-12 alerts operations daily at 09:00 for vehicle documents expiring within 15 days. Flow F-11 drafts renewals for expiring documents, and Vahan and Sarathi records are verified in bulk through ULIP.

The playbook

  1. Load every document with its expiry date per vehicle and driver.
  2. Verify registration and licence records in bulk.
  3. Alert 15 days before expiry.
  4. Draft the renewal task with an owner.
  5. Block assignment of vehicles with expired documents.

How to measure it

Count trips blocked or penalised for expired documents; aim for zero.

In SCM for Transporter, alerts go to the right role group on WhatsApp, deduplicated per window and grouped into digests, and every automation starts switched off for each company. Related: ULIP Vahan and Sarathi.
