WhatsApp is already your transport operating channel. The question is whether it keeps records.

Transport offices did not choose WhatsApp after a software evaluation. Drivers, branches and customers chose it for them. We think software should accept that and build on it.

Ask a transporter where the day’s work actually happens and the honest answer is a phone. PODs arrive as photos in a chat. Branches send “gaadi khaali hai” in a group. Customers ask where the truck is by voice note. Approvals are a thumbs-up. Many transport companies have tried to move this into a dedicated app, and many of those apps sit unopened on drivers’ phones. We think that is not a training problem. It is a design choice that went the wrong way.

Why another app loses

A driver already has WhatsApp, already knows how to send a photo and a location, and already uses it with family. A new app asks for a download, a login, a new screen in a language that may not be theirs, and storage on a phone that is often full. Customers and consignees are even less likely to install anything for one transporter. Whatever channel the work moves to, it has to be one that the least willing participant already uses.

The problem is not WhatsApp. It is the missing record.

What goes wrong with WhatsApp in a transport office is not the chat itself. It is that a POD photo in a group is not attached to its LR, an approval emoji is not an approval with an amount, and a “where is the truck?” message is answered by a person who has to ring the driver first. The information exists; it just does not land in the books.

So the right move, in our view, is not to replace the channel but to put records behind it:

Language is part of the channel

A channel is only universal if people can use it in their own words. A transport office in India works in Hindi, English, Marathi and the Hinglish in between, often by voice. What should not live in chat

We are not arguing that everything belongs in WhatsApp. Ledgers, bank reconciliation, period locks, GST and TDS summaries and lane profitability need a proper screen and a person sitting down. The line we draw is the one on our product page: run the fleet on WhatsApp, close the books in the office. Chat is for capturing events and answering questions where they happen. The office is for checking, reconciling and deciding.

Customers deserve a link, not a log-in

The same thinking applies to customers. They want to know where their consignment is, not to join your system. A public tracking link per LR that carries no financials, expires and can be revoked gives them that, and stops the calls, without exposing anything else.

How we would begin

  1. Move the company to the WhatsApp Business Platform on an official number, not a personal phone.
  2. Start with read questions: truck status, LR status, POD pending.
  3. Add POD by photo, because it unblocks billing.
  4. Add approvals only once roles and thresholds are agreed.
  5. Keep the books in the office, fed by what the chat captured.
